Administrative Manager/Bookkeeper

Community for Youth is a mentoring and development program that pairs high school students with adults who commit to helping them succeed in school and in life.

I. JOB SUMMARY
Responsible for providing specialized administrative support to executive director, staff and board. Provides logistical support to program and organization's activities. Perform general accounting and bookkeeping functions. Prepares financial reports. Performs human resources activities. Develops and updates program materials. Compiles and analyzes data, maintains databases. Develops statistical reports. Investigates program resources. Edits copy. Produces newsletters. Maintains office supplies and equipment. Manages office volunteers. Works with staff at all levels to complete projects.

II. SPECIFIC ASSIGNMENTS

    • Oversee and manage
      • Logistics of launch courses
      • Fundraising events
      • Newsletter - develop, produce, & mail
      • Volunteer Appreciation Party - plan, coordinate, organize, and participate in volunteer appreciation recognition
      • Office - establish welcoming atmosphere; maintain office appearance & oversight of storage unit
      • Supervision of students interns and office volunteers
  • Administration
    • Data base
      • Maintain databases
      • Collate, enter, and process all data related to recruitment, program participants, evaluations and fundraising
      • Analyze and develop reports
    • Logistical support
      • Administer details and provide logistical support to mentor trainings, launch course, program activities, and retreats for students and mentors
      • Perform administrative and general office duties
      • Maintain office supplies and equipment
      • Assist ED in developing individual giving plan
    • Paperwork
      • Update enrollment forms, permission forms, contracts
      • Process paper work on all participants
      • Create and develop program materials
      • Edit copy
      • Correspondence as assigned by Executive Director
    • Human Resources
      • Track vacation/sick days for staff
    • Fundraising
      • Create, produce and mail invitations for fundraising events
      • Provide logistical support for events
      • Mail direct giving letters
      • Write, track, mail thank you letters to donors
    • Research
      • Research program activity and workshop resources
    • Mentor enrollment
      • Respond to inquiries
      • Send PSAs, develop recruitment materials
      • Process Washington State Patrol checks for all mentors
      • Check mentor references
  • Accounting and Bookkeeping
    • Perform general accounting and bookkeeping functions using QuickBooks
    • Prepare financial reports to include monthly balance sheet, income statement, and budget to actual analysis.
    • Process invoices
  • Participate in program-wide activities
  • Participate in bi-weekly staff and supervision/project review meetings
  • Other duties as assigned by Executive Director
III. WORKING RELATIONSHIPS

   Reports to Executive Director

IV. TRAINING AND EXPERIENCE
  • Proficient with MS Office, Microsoft Word, Excel, Access, Publisher, Outlook
  • Non-profit accounting experience
  • Bookkeeping experience using QuickBooks
  • Attention to detail
  • Conscientious, reliable
  • Positive attitude
  • Ability to work independently and as a team member
